Job Summary
We are looking for a highly motivated and organized PTA / PT Aide Supervisor with a desire to be part of a high volume, dynamic outpatient orthopedic clinic. The position includes a variety of responsibilities from direct patient care to supervising the clinic’s PT Aide staff. You will help to coordinate patient care with our highly skilled PT staff to treat a myriad of musculoskeletal conditions in order to provide results-based treatment with excellent patient satisfaction. The PT Aide supervisory component of the position is a leadership role in which you will help manage the clinic’s PT Aide staff. The responsibilities will involve helping to oversee the hiring, training, developing, and scheduling of the clinic’s PT aide staff. This position offers an excellent opportunity to develop both clinical and leadership skills as a PTA working among a highly skilled PT staff.

Work Hours
Rebound clinics are generally open from 7:00 am -7:00 pm, Monday – Friday. Some staff are scheduled between the hours of 6:30 am to 7:30 pm. Daily schedules may vary within those hours depending on the clinic locations.

Administrative Positions

Rebound Physical Therapy is seeking a full-time Medical Accounts Receivable (AR) Specialist.

Rebound is a well-respected and independent physical therapy provider specializing in sports medicine, rehabilitation and spinal care at multiple locations throughout Central Oregon. The position will be based at Rebound’s Administrative office located near the Old Mill District. The schedule will consist of Monday through Friday for a total of 40-hours per week.

The AR Specialist works collaboratively and efficiently with the AR Team toward the achievement of department goals. The position is responsible for working with patients in a way that demonstrates Rebound’s commitment to excellent patient service. The goal is to ensure their accounts are processed correctly with insurance providers and in a timely manner while establishing appropriate expectations as to the patients’ responsibilities.

The ideal candidate must have the following requirements:

Education and Experience
• Minimum of high school diploma. Prefer Associate’s degree or equivalent of three years of job-related experience; preferably in a medical office environment.
• Able to understand and become proficient in medical billing software — basic knowledge of Therapy Source is an asset.
• Familiarity and working knowledge of insurance regulations and specific coverage for physical therapy.
• Strong working experience with Microsoft Office.

Job Summary

This position is responsible for expediting the administrative requirements for patient referrals, dealing directly with health plans or referring physicians’ offices, ensuring proper notification/authorization have been obtained in a timely manner.

Responsibilities

  • Verifies and validates patient’s insurance coverage and determines if the benefit plan considers recommended treatment appropriate based on patient needs.
  • Re-verify existing patient insurance coverage and determine if the benefit plan considers recommended treatment appropriate based on patient needs.
  • Completes all required paperwork necessary to obtain authorization and verify that CPT & Diagnosis codes are specific to treatment.
  • Obtain authorization and confirm clinic location and CPT & Diagnosis codes matches the authorization.
  • Maintain and update delayed charges logs.
  • Enters information and notes regarding verification for patient care into the insurance software in a clear and timely manner.
  • Resolves any issues with coverage and escalates complicated issues to Sr Ins Specialist and/or Manager.
  • Communicates information effectively both verbally and in writing to appropriate clinic and administrative personnel.
  • Contact person for FO/Clinician for procedures that are changed or added during a patient’s appointment so that appropriate authorization can be made while the patient is being seen.
  • Reviews all scheduled patients for Medicare coverage and checks reason code to determine if a Medicare waiver is needed.
  • Reviews all scheduled patients for Medicaid coverage & verifies if auth is expired. If expired & patient wishes to continue treatment w/o auth in place, complete the OHP form & email to FO for patient to sign before treatment begins.
  • Helps to foster collaboration between all staff with the gathering patient information.
  • Maintain comprehensive knowledge of medical billing, insurance plans, Medicare and HIPAA compliance.
  • Contact Front Office so they can contact the patient with any Insurance denials.
  • Other duties as assigned.

Education & Experience Qualifications

  • Three-plus years in the field of medical insurance verification, medical billing and medical billing software; implementation and experience with EMR are an asset.
  • Proficient computer skills including MS Office Suite (Excel, Word and Outlook).

Physical Requirements and Working Conditions

The Insurance Verification & Authorization Specialist is expected to work in a busy administrative office with eight physical therapy clinics. They must possess mobility to work in a standard office setting and to use standard office equipment including a computer and printer. The job may be physically demanding as the Insurance Verification Specialist may need to sit, lift and stand for extended periods. They must also have the vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone.

Hours

The Insurance Verification & Authorization Specialist is a part-time position. The schedule will generally consists of 25-30-hours per week, Monday – Friday. The starting and ending times may vary depending on the needs of the office and staffing. The on-site position is based at Rebound’s Administrative Office located in the Mill A district of Bend.

Rebound Physical Therapy is seeking a part-time Medical Receptionists for one of its clinics located in Bend. The part-time schedule is expected to be 30-32 hours per week.

Rebound is a well-respected and independent physical therapy provider specializing in sports medicine, rehabilitation and spinal care at multiple locations throughout Central Oregon. 

The Receptionist works in collaboration with the Front Office Manager and staff to implement best practices for front office processes including: planning; staff communications; customer service; systems, training and scheduling. The position provides administrative support for clinic manager and clinicians in the day-to-day operations of the clinic, sets the standard for delivering excellent responsive customer service for our patients, and serves as a liaison to clinic and administrative team.

The ideal candidate must be/have:

* High school diploma-plus or equivalent, with 1 – 2 years of medical office experience preferred

* Demonstrated competency with computer systems, email, MS-Word, MS-Excel, and scheduling and patient demographics software

Position Summary:
This position is responsible for the supervision of front desk associates at designated physical therapy sites, assisting managers and directors with administrative processes, and performing the duties of a front desk associate or insurance specialist when necessary.

Jobs and Responsibilities

  • Provides leadership to team of front desk administrators, as well as training for new hires and changes in policy/procedure.
  • Ensures that employees have the resources, tools, and training needed to perform their duties.
  • Manages the performance of staff, including evaluations, disciplinary action, and terminations.

  • Assists site manager with supervisory responsibilities for the front desk team, as well as process improvement initiatives and changes regarding insurance, company policies, etc.
  • Performs other tasks as instructed by manager/director.
  • Conducts and/or schedules training for new staff regarding department procedures and service guidelines. Provides skills testing and evaluation to existing staff as needed.
  • Ensures all front office functions to include scheduling, registration, check out, referrals, and medical records are compliant with all state and federal requirements, and that all HIPAA policies are maintained.
  • Provides and oversees team’s delivery of customer service in a manner that promotes goodwill, is timely, efficient, and accurate.
  • Responsible for staff development, including training, reviews of progress and communication of findings.
  • Arranges for system logins and access rights for staff and completes new, training, and departure checklists.
  • Troubleshoots processes and technical issues as they pertain to the front Office and systems used by the front Office.

Required: Bachelor’s degree in related field OR a combination of education and experience that will enable performance of the full scope of the position.

Performs a variety of administrative duties which requires the exercise of independent judgment, the application of technical skills, and detailed knowledge of the activities and procedures specific to the clinic.
With clinician input, develops efficient methods for patient scheduling.
Prepares patient charts and verifies that patient has correctly provided all information and the patient has signed all the necessary registration forms.
Communicates frequently with the Lead to ensure proper implementation of processes and procedures.
Ensures that patient records/files are accurate and complete, and that patient confidentiality is strictly maintained.
Ensures adequate front office vacation / sick leave coverage.
Maintains the aesthetics and functionality of the clinic in relation to cleanliness and ambiance
Participates in front office training and constantly looks for ways to improve the patient experience or streamline workflow to foster efficiencies in how we work.

Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, strength to lift and carry materials weighing up to 10 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in-person and over the telephone.

Work Hours
Rebound clinics are generally open from 7 am–7 pm, Monday–Friday. Front office is often staffed from 6:30 am to 6 pm. Daily schedule may vary within those hours and depending on location.

All staff and patients must follow CDC COVID guidelines for health care facilities. Masks are strictly required for everyone while in the clinic.
